Reimaginate Online
Privacy policy
This policy explains how Reimaginate Pty Ltd collects, uses, protects and retains personal information collected through Reimaginate Online product pages.
Effective 30 October 2026
Information we collect
When you contact us, we may collect your name, organisation email address, organisation, role or team, phone number, product interest, the systems involved and the information you provide about your goals, current situation and timing. We may also record the related page or video linked to your enquiry. Please do not include sensitive or confidential information in the form.
Why we collect it
We use this information to understand and respond to your product enquiry, prepare for an initial conversation and manage any resulting business relationship. Submitting an enquiry does not subscribe you to a newsletter or automated marketing sequence.
How information is processed
When you select Continue in the guided enquiry form, we send your answers to OpenAI to prepare follow-up questions, a recap and an enquiry category. This happens before you submit the completed enquiry to our team. We also include your product interest and the related example or video, where relevant. The separate contact fields are not included in these AI requests, but anything you type into an answer is included. Please leave out passwords, sensitive personal information and confidential business information.
You can review and change your enquiry before submitting it. Submitted enquiries are stored in our enquiry-management systems, including DataHub, and delivered to our team using Orchestrator and Microsoft Azure services. We retain the contact details, answers, recap and related enquiry context so we can follow up. Copies may also be held in our email mailboxes. We keep delivery records to check and resolve sending problems.
We send a confirmation to the organisation email address you provide. It includes an acknowledgement and enquiry reference, but not your answers or recap. You can reply to contact our team. Other website contact forms use Microsoft Azure services to process and deliver your message.
The guided form saves a draft in your browser tab so you can return to your answers during that session. Drafts are available for up to 24 hours and are cleared after confirmed submission. Temporary conversation state on our website server expires after 30 minutes without activity.
We ask OpenAI not to store generated responses for later retrieval through its API. This does not remove all provider processing or retention, including abuse monitoring. See OpenAI's API data controls.
We use service providers to host the website, process enquiries and send email. Their services may involve processing information outside Australia. Microsoft describes its practices in its privacy statement. We do not sell personal information. We may also disclose information where required or permitted by law.
Website analytics and cookies
We use Google Analytics to understand visits, referral sources, pages viewed, video interactions and completed enquiries. Google receives technical information such as your browser, device and network address and derives approximate location. Analytics cookies help distinguish visits. We do not send your form answers, contact details or enquiry reference to Google Analytics, and we do not enable advertising personalisation.
When our Australian opt-out setting is enabled, analytics starts automatically for connections that Microsoft Azure identifies as Australian, unless you have already rejected it. The cookie banner tells you when analytics is on and lets you turn it off. Ignoring the banner is not recorded as acceptance. For other connections, or if we cannot establish the location, analytics stays off until you accept. Network location is an estimate; VPNs and proxies can affect it. We do not store your network address or country as part of this choice check.
Analytics is optional. You can change your choice using Cookie settings in the footer. We remember an explicit acceptance or rejection in this browser on each website for up to 180 days. When that choice expires, we apply the location rule again. Our analytics cookies expire after 180 days. If browser storage is unavailable, your choice applies to the current page and you may be asked again on a later visit. Rejecting analytics does not prevent you from using the website or sending an enquiry.
When analytics is on for both websites, we measure visits across reimaginate.com.au and reimaginate.online using a shared Analytics property. We keep temporary submission markers in your browser session to avoid counting the same confirmed enquiry twice. Those markers are not sent to Google.
Google may process analytics information outside Australia. See how Google uses information from sites that use its services. Withdrawing consent stops future collection from this browser; it does not delete information already collected.
Campaign information with enquiries
When you arrive through one of our tagged ChatGPT advertising links, we remember the campaign and ad labels in this browser tab's session storage. A later recognised campaign link replaces the earlier labels. These labels identify the campaign, not an individual visitor. We do not retain OpenAI ad click references or create an advertising visitor identifier.
If you submit an enquiry during that session, we include the labels in our internal enquiry records to assess which campaigns bring relevant enquiries. This is separate from the Google Analytics cookie choice. The labels come from the link and are not independently verified. If session storage is unavailable, your enquiry still works without campaign attribution. Session storage normally clears when the tab closes, although browsers may restore it when restoring a session. We do not copy these labels between our website domains or devices.
We do not send enquiry conversion events to OpenAI or install its advertising measurement pixel. Previously sent conversion events are not deleted by this change. Campaign labels already attached to an enquiry are retained with that enquiry under the record-retention arrangements described in this policy.
Embedded videos
Video previews are hosted on our website. When you press play, we load a YouTube player using its privacy-enhanced embed domain. YouTube receives technical information needed for playback, including your network address and browser details. Playback is separate from your analytics cookie choice. See Google's privacy policy for its data handling practices.
Storage, security and retention
We use technical and organisational measures to protect personal information against misuse, loss and unauthorised access or disclosure.
Enquiry information may be retained to respond to you, maintain a record of our discussions, manage a resulting business relationship and meet applicable business-record or legal requirements. Retention depends on the purpose and type of record.
Access, correction and privacy concerns
To ask about information we hold about you, request access or a correction, or raise a privacy concern, email contactus@reimaginate.online or call +61 7 3062 9447. We may need to confirm your identity before providing or changing personal information.
If you raise a concern, we will review it and respond to you. Please describe what happened and how you would like us to contact you.
Changes to this policy
We may update this policy as our products or information-handling practices change. The effective date above identifies the current version.
